Quay Help
Quay is a Shopify app that enforces per-company credit limits and late-payment rules at B2B checkout for wholesale merchants. Here is each task in Quay, step by step, in the order you set it up. Why each one matters is in the Guides.
Getting started
-
Set up Quay with the setup guide
In Quay, the Set up Quay guide on the Dashboard imports your orders and companies, reads how each company pays, then walks you through suggestions, the company card and buyer accounts.
Credit limits and policies
-
Review suggested credit limits on Quay's Suggestions page
In Quay, open Suggestions, pick a policy for each group of companies sorted by how they pay, check the suggested limits, then click Apply; each group can be undone for 30 days.
-
Set a company's credit limit in Quay
In Quay, open Companies, click the company, type the amount in Credit limit and click Save; the company's policy decides what checkout does once it goes over.
-
Create a policy on Quay's Policies page and assign companies
A Quay policy is the set of checkout rules you give companies, for going over the credit limit and for overdue invoices: create it on Policies, then assign it from Companies.
-
Override one company's checkout rule with Quay's Manual override
Quay's Manual override sets checkout for one company whatever its policy says: on the company's page, pick Force allow, Force pay-on-order or Force block new orders and click Save.
What happens at checkout
-
Choose Quay's action when a company goes over its credit limit
In a Quay policy, choose what checkout does over the credit limit: Monitor only changes nothing, Pay on order takes net terms off once the company is over, Block new orders stops orders that go over.
-
Choose what Quay does when a company's invoices are overdue
In a Quay policy, under Overdue escalation, set the day past due when a late company moves to Pay on order or is blocked from new orders; Quay lifts it once the company pays what is overdue.
-
Take payment at checkout for the order that would go over the limit, with Quay on Shopify Plus
On Shopify Plus, tick the box under Payment terms at checkout in Quay's Settings and click Save; on other plans, Pay on order takes net terms off once the company is over its limit.
-
Add Quay's Payment terms notice to your Shopify Plus checkout
On Shopify Plus, click Open checkout editor in Quay's Settings and add the Payment terms notice to Checkout; on other plans, Pay on order takes net terms off once the company is over its limit.
What buyers see
-
Add Quay's Finance and payments page to Shopify customer accounts
You add Quay's Finance and payments page and Account alert to Shopify customer accounts once, in the account editor, so B2B buyers see what they owe and their credit.
Getting paid
-
Read Quay's AR aging dashboard
Open the Dashboard, the page Quay opens on, to see what you can expect to be paid this week, what your B2B companies owe and how late it is, who owes the most, and what needs your decision.
-
Download statements and AR reports from Quay's Statements page
In Quay, open Statements, pick a company and a date, then click Download PDF, Print or Download CSV; tick several companies for one ZIP, or use the Reports tab for AR aging.
-
Check the orders on Quay's Orders to check list
Quay's Orders to check lists orders Shopify marks Paid or Refunded whose payments don't add up, such as one marked Paid but the buyer still owes; you choose Treat as paid or Count as owed.
-
How Quay works out what you can expect to be paid this week
Quay's This week card moves each unpaid order to the day its company usually pays, then gives a low and a high figure for this week and the next three; orders it can't put in a week are Not counted.
Alerts and your Shopify admin
-
Add Quay's company card to Shopify admin
Open any company in Shopify admin, click + Block under Blocks at the bottom of the page, pick Credit and payments (Quay) and pin it, and every company page shows its Quay credit status.
-
Connect Quay's Telegram alerts
In Quay, open Settings, click Connect Telegram under Telegram alerts and add the bot to your Telegram group to hear about orders that get past a block.
Plan and billing
-
Change your plan in Quay
In Quay, open Plan and click Manage subscription to change plan, update your payment method or cancel on Shopify's billing page.
