Getting paid
Check the orders on Quay's Orders to check list
Quay's Orders to check lists orders Shopify marks Paid or Refunded whose payments don't add up, such as one marked Paid but the buyer still owes; you choose Treat as paid or Count as owed.
Quay is a Shopify app that enforces per-company credit limits and late-payment rules at B2B checkout for wholesale merchants.

Shopify sometimes shows an order as Paid or Refunded when the payments recorded on it don’t add up to its total. Quay doesn’t count such an order against the company until you decide what it is. Nothing you decide here changes the order in Shopify.
Open the list
- In Quay, open the Dashboard, the page Quay opens on. In Needs your decision, on the This week card, a row such as “3 orders to check.” shows how many orders are waiting. It appears only when there are some.
- Click Review on that row. The Orders to check page opens. To find one order or company, type in Search by order or company.
A company’s page in Quay also says when it has orders waiting, with a Check it or Check them link that opens the list for that company.
Small differences
- Open the Small differences tab. Every order here is off from its total by less than one unit of its currency, for example less than $1.00. Every order on the tab is ticked.
- Untick any order you want to leave for later.
- Click Treat as paid, then Treat as paid again in the confirmation. Quay counts those orders as fully paid. On statements, the buyer sees each as closed, with a “Balance adjusted” line.
Larger differences
- Open the Larger differences tab. Each row shows the order total, Paid in Shopify and Left to pay in Shopify.
- Click an order number to open the order in Shopify, and check whether the buyer paid.
- Tick the orders that have the same answer.
- Click Treat as paid if the buyer paid in full, or Count as owed if they still owe what Shopify shows. If you click Count as owed, the confirmation shows What changes at checkout: what each company’s policy will do once the order counts.
- Click Treat as paid or Count as owed in the confirmation.
Undo a decision
- Open the Decided tab. Each row shows the decision, Treated as paid or Counted as owed, and its status.
- Click Undo beside the order. If you decided it together with other orders, the confirmation asks whether to undo only this order or all the orders you decided together; pick one. Then click Undo in the confirmation.
If the order later gets a payment, a refund or an edit in Shopify, a Treat as paid decision ends by itself: the order comes back to the list if it still needs checking, and otherwise Quay counts what Shopify shows.
What happens next
Decided orders move to the Decided tab. For an order you counted as owed, the unpaid amount Shopify shows starts counting toward the company's credit limit and overdue rules, usually within a few minutes. Buyers then see it as owed on statements.
