New: branded statements for any date or period, in bulk

Until now, the answer to “can you send us a statement?” was a spreadsheet, a screenshot of the dashboard, or an email you wrote by hand. Quay knew the balances; it had no document to put them on.

Now it does. The Statements page renders a statement of account for any company, on your letterhead, for any date or any period.

Set your letterhead once. Open Statements, then Document settings. Fill in Your company details (legal or display name, address, phone, email, registration number), Payment details (bank, account name and number, SWIFT/BIC, IBAN, routing or sort code, branch, and a payment note), a Footer note, and upload a Logo (PNG or JPEG, up to 1 MB). Every statement from then on carries them.

Pick the companies. The With balance tab lists every company that owes something. Tick one, or tick several. All companies is the other tab, and With overdue only narrows the list to companies with something past due.

Pick the document. Balance on a date shows every open order as at that day, with what was paid and deducted against each and the balance, for Today, End of last month, or any custom date since your first B2B order. Activity over a period shows an opening balance, every order, payment, refund and credit as its own line, and the closing balance, for This month, Last month, Last 3 months, Year to date, Last 12 months, or a custom range of up to a year.

Download PDF, Print, or Download CSV. With several companies ticked, Download PDF gives you one ZIP of PDFs with a statement each, and Download CSV one ZIP of CSVs, up to 50 companies per download. Past 50, take the list page by page. A long period for many companies takes a while to render; take fewer at a time.

One buyer’s phone and email. The buyer’s name and address come from Shopify. To print a phone number or an email address for one company, click This company’s details on the preview and type them in.

A few things that haven’t changed:

To start: open Statements, fill in Document settings once, and tick a company. There is nothing to switch on.

What a statement of account has to show, and why Shopify does not produce one, is in B2B account statements on Shopify. The two reports that shipped alongside are in aging and outstanding-orders reports, and the aging view itself in accounts receivable for Shopify wholesale.
