New: store credit on statements, never netted off the balance
A merchant moving to Quay showed us a statement from their previous tool where a company’s store credit had been subtracted from what the company owed. The number at the bottom was smaller than the debt. Their own records showed why that is wrong: the credit had already been spent on a separate order that closed at zero, so counting it again handed the buyer the same money twice.
Store credit now appears on the statement as its own line, below the totals, and is not subtracted from the balance unless you switch that on yourself.
Why it sits outside the sum. Store credit is a voucher for a future order, not a payment against a past one. Shopify enforces that itself: try to settle an unpaid net terms order with store credit and it refuses. So the balance, the totals box and the aging buckets stay exactly as they were, and the credit is stated beside them as what it is, money the buyer can spend on their next order.
Where it shows. On the statement PDF and in the CSV, on the company page in Quay, and on the Quay card inside a Shopify company page. A company holding credit in more than one currency gets one line per currency, named, so a buyer owing ringgit and holding dollars sees both instead of neither. Buyers see their own balance in the header of their Shopify account, which is where Shopify keeps it.
A blocked company still shows its credit, with one line of context. If new orders are being held for that company, the figure stays and a sentence beside it says the credit does not unblock them and can be spent once orders are allowed again. A number with no context reads as “they can order”, and the answer at checkout would be no.
One permission, once. Reading a company’s store credit needs a new permission from Shopify. It asks you to approve it the next time you open Quay, and until you do the line is simply absent. Nothing else changes.
